The role
Please note: This is a fixed-term contract position of 12 months. Interviews are to be held 10/09/2026.
Purpose:
To assist with ensuring that the administrative processes are carried out efficiently and effectively so that the Community can provide support, work and personal development opportunities for the learning – disabled adults we support.
Duties & Responsibilities:
Main areas of responsibility:
Acting as a front-line point of contact for the community and a key contact for residents, families and visitors, including:
Manage the reception, greeting visitors.
Answering calls, taking and passing on messages.
Provide full administrative support service to the Registered Manager, HR Partner and the administrative team.
Prepare agendas, take minutes of meetings, type routine correspondence and reports, distribution of agendas and papers as directed.
Arrange meetings, appointments, book facilities (meeting rooms) and make travel arrangements for the manager.
Handle incoming and outgoing post.
Manage office equipment; report faults, ensure supply of toner, paper etc. Ordering stationery when needed.
Undertake such other tasks as required individually or with others to develop and maintain the high quality of service required to fulfil the vision of the Community, for example by actively participating in team meetings and relevant training.
Responsible for liaising with third parties such as insurance broker to collate required information.
Monitor and update ECM on CM2000 system within set contract periods, prepare and send out stats and update ready for pending invoice to be raised.
Accurate data input and management of payroll system, ensuring employee integration and reconciliation.
Ensuring payroll information is uploading weekly.
Building an effectively relationship with third party training providers and Camphill Village Trust Learning & Development team to ensure process improvement and compliance.
Answer queries and support Care Team Leaders regarding payroll and rostering.
Induct new staff to Camphill Village Trust policy within the office including e learning.
Any other tasks as delegated by line management.
General:
· To comply with the Trust’s Policies and Procedures, including Safeguarding, Equality & Diversity and Data Protection.
· To comply with the statutory provisions of the Health and Safety at Work Act 1974.
· Employees must look after their own health, safety and welfare and be mindful of
other persons who may be affected by their acts or omissions. Employees must co-operate and comply with management instructions regarding Health and Safety issues and report all accidents, incidents and problems as soon as practicable to their manager or other senior members of staff where necessary.
· To ensure that confidentiality is respected and maintained at all times.
· To attend and participate in Team Meetings, 1-2-1 Supervision sessions and other meetings as required in line with the post.
· To undertake any other duties which are consistent with this post, as directed by line management.
